Cadence by METUS — Privacy Notice

1. Who We Are

Cadence by METUS is an internal scheduling and operations tool operated by Mitsubishi Electric Trane HVAC US, LLC (“METUS,” “we,” “our”). This Privacy Notice explains how we process personal information for both:

  • Public Visitors who access informational pages; and
  • Authenticated Users who sign in and use Cadence.

2. Scope of This Notice

This Notice applies to the Cadence website and application, including any public informational pages and the authenticated application environment.

  • Public pages: We do not collect personal information beyond essential web server logs needed to deliver the page securely.
  • Authenticated use: Access requires login and a role granted by METUS. Additional processing applies once signed in (see §3B).

3. Information We Collect

A. Public Visitors (Unauthenticated)

When visiting only the public informational page(s), we collect:

  • Essential Web Server Logs: IP address, timestamp, user agent, and basic request metadata.
  • We do not use analytics or advertising cookies on public pages.

B. Authenticated Users

When you sign in and use Cadence, we process the following categories of personal information:

  • Identifiers & Account Data
    Name, business email, user ID; assigned roles/permissions; department or group metadata (if provided).

  • Operational & Security Logs
    Authentication events; scheduling actions (run, stop, edit schedules); timestamps; IP address; device/browser metadata; error logs and audit trails.

  • Configuration & Feature Flag Telemetry
    Limited evaluation context used by platforms such as LaunchDarkly to safely enable or adjust features.

  • Support Interactions
    Information you submit in tickets, in‑app feedback, or internal communications related to Cadence.

We do not collect consumer marketing data, behavioral advertising data, or public user‑generated content through Cadence.

4. How We Use Personal Information

We use personal information to:

  1. Authenticate and authorize access to the Service.
  2. Operate, monitor, and secure the Service (e.g., detect unauthorized access, troubleshoot, audit logging).
  3. Support and improve reliability, including debugging, performance analysis, and safe feature rollout via feature flags.
  4. Comply with legal and policy obligations, such as recordkeeping, regulatory requirements, and lawful requests.

Where required by law, our legal bases include legitimate interests in operating a secure internal system, performance of internal agreements, and legal obligations. If a specific activity requires consent (e.g., optional diagnostics), we will obtain it.

5. How We Share Information

We may disclose personal information to:

  • METUS affiliates for internal operations and support.
  • Service providers acting on our instructions (e.g., cloud hosting, logging/monitoring, feature‑flag platforms).
  • Security and compliance recipients, including when required by law or necessary to protect rights, safety, or system integrity.
  • Corporate transaction participants in the event of an acquisition, merger, or similar event, consistent with internal policy and law.
  • HR/IT administrators as required for internal operations.

We do not sell personal information or share it for cross‑context behavioral advertising.

6. Retention

We retain personal information only as long as necessary for the purposes described in this Notice and consistent with METUS records schedules and applicable law. Retention takes into account data sensitivity, operational needs, internal audit requirements, and legal/regulatory obligations.

7. International Transfers

Where data is accessed or processed across borders, we apply appropriate safeguards consistent with applicable data protection laws.

8. Your Rights & Choices

Depending on jurisdiction and company policy, you may have rights to access, correct, or request deletion of certain personal information, and to request restrictions on certain processing, subject to legal and operational limitations. To submit a request, contact CustomerCare@hvac.mea.com or your METUS HR/IT administrator.

9. Security

We implement reasonable and appropriate safeguards to protect personal information. No system is 100% secure, but we take steps to reduce the risk of unauthorized access, misuse, or disclosure.

10. Changes to This Notice

We may update this Notice periodically. The “Last Updated” date reflects the latest revision. Material updates may also be communicated through the application or by email.
